If it has just happened

  1. Call or write any time. We explain what to say. We contact the hospital and the police.
  2. Find the insurance policy. The compensation depends on it.
  3. Name two cities. Where it happened. Where to bring the body. The passport can come later.

What we do when you call

Many Ukrainians live and work in Italy. When a person dies far from home, the family often knows neither the language nor the local rules. We take that part on. You do not need to fly to Italy to arrange it all.

  1. We listen and advise

We find out exactly where the body is: a hospital, a hospice, a morgue or a home. We tell you what to do first and give you the exact price straight away.

  2. We contact the Italian side

We speak to the hospital and the civil status office of the comune (the local authority). The family does not have to call them.

  3. We obtain the Ukrainian consulate's consent

For transport to Ukraine, the Italian rules require the Ukrainian consulate's consent to bring the body in. We submit the documents and obtain this consent first, because without it the comune will not issue the permit.

  4. We put together the Italian permits

We prepare the package for the permit to take the body out of the country, together with the consulate's consent. We make sure that not a single paper is missing, because the permit will not be issued for an incomplete package.

  5. We prepare the body for the journey

We prepare the body, place it in a hermetically sealed metal coffin inside a wooden one and seal it. Everything is done as both Italy and Ukraine require.

  6. We bring the deceased home

We choose the route: an air leg and a road leg, or the whole way by road. We accompany the body across the border and hand it over to the family at the place you name.

Documents in Italy

The permit to take the body out is issued by the comune where the death occurred. Below is what usually goes into the package. We give the Italian names in brackets: this makes them easier to recognise in letters from the hospital or the comune.

What Italy issues

  • Permit to take the body out of the country (autorizzazione all'estradizione della salma). It is also called the mortuary passport (passaporto mortuario). It is issued by the local authority, usually the civil status service of the comune where the person died.
  • Extract from the death record (estratto di morte) and burial permit (autorizzazione al seppellimento): from the civil status office of the comune.
  • Certificate from the local health service, AUSL or ASL. It confirms that the body has been prepared and the coffin made according to Italian rules.
  • Permit from the judicial authorities (nulla osta dell'Autorità giudiziaria): only if the death was violent.

What is needed for Ukraine

  • The Ukrainian consulate's consent to bring the body in (nulla osta). For transport to Ukraine, Italy requires this consent from the Ukrainian consulate.
  • Death certificate or another document confirming the death. It is shown at the Ukrainian border.
  • Certificate that the body and the coffin contain no prohibited items. It is issued by the competent Italian authority and legalised by the Ukrainian consulate.
  • A written statement in any form for Ukrainian customs. We will help you write it.

The exact list depends on the comune and the circumstances of the death. We check it with the local offices before we submit the documents.

The Embassy and consulates of Ukraine in Italy

Ukrainians in Italy are served by the consular section of the Embassy of Ukraine in Rome and by the Consulates General of Ukraine in Milan and Naples. Which one is needed depends on the region where the death occurred. We will tell you.

What the consul does in this situation:

  • issues the nulla osta, a document for the Italian authorities, without which the body will not be released from Italy; the original is received by a relative or by us under the family's power of attorney;
  • registers the death of a citizen of Ukraine that occurred abroad and issues the Ukrainian death certificate; the first death certificate is free of consular fees;
  • legalises the certificate of no prohibited items issued by the Italian authorities;
  • issues a certificate for the social protection authorities, so the family can receive the funeral allowance in Ukraine.

For the consul, Italian documents must be certified (apostille or legalisation) and translated into Ukrainian. We organise these steps ourselves. More in the article “The Ukrainian consulate when someone dies abroad”.

How we bring the deceased home from Italy

There are two options. The first is an air leg and then a road leg to your town. The second is the whole way by road across Europe. The choice depends on the city in Italy, on where in Ukraine we are going and on the family's wishes.

Where we collect from

We collect the deceased from Rome, Milan, Naples, Turin, Bologna, Florence, Palermo and from any other Italian town, village or island: from a hospital, a hospice, a morgue or from home. From the south and the islands the road to the airport or the border is longer than from the north.

The air leg. The body is flown on a cargo flight to an airport near the Ukrainian border. The air leg itself takes from 2.5 hours. From the airport, our specialist vehicle takes the body on.

Timing. The journey home takes from 24 hours after collection. The exact time depends on how quickly the comune and the consulate issue the documents. We will give you a date as soon as we can see how far the documents have got.

The coffin. For international transport, Italian rules require a double coffin: a metal one, hermetically soldered, and a wooden one. This fits the Ukrainian requirement: the body must be in a hermetic metal coffin under official seal. We prepare one that suits both.

Preparing the body. From April to September, a body that has not been embalmed must be specially prepared for the journey. In Italy, embalming is usually carried out specifically for international transport. All of this is part of our work.

Price of repatriation from Italy

Body from Italy from €3,000
Urn with ashes from €500

What the price includes

The price includes:

  • contact with the hospital and the morgue
  • local, consular and border documents
  • preparing the body for the journey
  • hermetic coffin, soldered zinc liner
  • sealing as the border requires
  • transport by road, or part of the way by air, whichever is faster and better value for you
  • handover to the family in your town

Farewell coffin: quoted separately.

What can change the price

The “from” price covers the whole journey of the body home. Italy is a big country: from the south or from the islands the road to the airport or the border is longer than from the north. So the final amount depends on the city in Italy and the town in Ukraine, on the route, on how long the documents take and on the coffin you choose. A funeral in Ukraine is a separate service and is not included in this amount. Call us and we will tell you the amount during the call.

Questions about repatriation from Italy

How much does it cost to bring the deceased home from Italy to Ukraine?

The price is from €3,000 for the whole journey home. The list above shows what is included. The exact amount depends on the city and the route; we will tell you during the call. A funeral in Ukraine is charged separately, if you need it.

How long does it take?

The journey home with the deceased takes from 24 hours after collection. The air leg takes from 2.5 hours. The documents usually take more time. First we obtain the Ukrainian consulate's consent, because without it the comune will not issue the permit to take the body out. We prepare the other documents in parallel and tell you about every step.

Which documents do you need from the family?

Usually not many: the deceased's passport or another identity document, if you have it, and your contact details. The rest (the Italian certificates, the comune's permit, the consulate's consent) we arrange ourselves. If a local office asks the relatives for something, we will tell you in advance and explain how to do it remotely.

Do I need to travel to Italy?

In most cases, no. We deal with the Italian services, and we stay in touch with you by phone and in messaging apps. When you need copies of documents, we send them on Viber, WhatsApp or Telegram. If you want to be present, we will tell you where and when to come. What can be done from home is described in the article “If the family cannot travel abroad”.

Is embalming compulsory, and what kind of coffin is needed?

For international transport from Italy a double coffin is needed: a hermetically soldered metal one and a wooden one. Ukraine also wants the metal one under official seal. We choose an option that meets both requirements and explain the difference in price. If the body was not embalmed and it is summer, the preparation is done specially. More in the article on the coffin and embalming.

The person was insured. What should I do?

Keep the policy at hand and tell us about it on the first call. The transport must be approved by the insurer, otherwise the compensation can be refused; we deal with that. We will tell you in advance about any part the policy does not cover.

Which cities in Italy do you collect from?

From any city or region of Italy: a big city, a small village in the south or an island. For us the difference is only in the route and in the time it takes to reach the airport or the border.

The death was the result of an accident. Does that change anything?

Yes. If the death was violent, the Italian judicial authorities become involved. Then taking the body out also requires their permit (nulla osta dell'Autorità giudiziaria). This can add time. We follow the process and tell you when the body can be collected.

What should I do first if a person has just died?

The first steps are at the top of this page, and in full on the What to do if a loved one dies abroad page. Do not sign a contract with a local funeral home before you have talked to us.

Can an urn with ashes be brought from Italy?

Yes. An urn is brought into Ukraine under the same legal rules: a death certificate and a certificate of no prohibited items legalised by the Ukrainian consulate. The price of bringing an urn to Ukraine is from €500. More on the Transport of an urn with ashes page.
