Global Ritual Group XREQUIEM All of Ukraine · any city Funeral home · International repatriation · Our own coffin workshop

Privacy policy

In plain words: what data you leave on this website, why we need it, where it is kept and how to ask us to delete it. We only ask for what we need to call you back. Your data is not for sale. Which advertising and analytics services run on the website, and only after what consent, is described below.

Who receives your data

XREQUIEM is a funeral home at 16/1 Andreia Sheptytskoho St, Drohobych, Ukraine. We are part of the GRG group of companies. Requests from this website are received and handled by a shared service of the GRG group: the website runs on the group's hosting, and requests arrive in the group's internal Telegram bot. This means your data is seen by the XREQUIEM and GRG group staff who handle requests. For questions about your data, contact us on +380 77 882 77 77 (call, Viber, WhatsApp or Telegram).

What data we receive

What you write in the form

  • your name;
  • your phone number;
  • the country, if you choose to give it;
  • the destination country, if you choose to give it (the form on the “From Ukraine” pages);
  • the town or city in Ukraine, if you choose to give it (the same form);
  • a comment, if you choose to add one.

What the form adds automatically

  • the address of the page the request was sent from;
  • the page language (the Ukrainian or English version of the website) and, on the “From Ukraine” pages, a label for the route;
  • advertising tags (UTM and gclid), if you came to the website from an advert;
  • your IP address and brief technical information about your browser.

When you write to us on Viber, WhatsApp or Telegram, we see what you send and your messenger profile. Those conversations are also subject to the messenger's own rules.

Why we need it

  • Your name, phone number, country, destination country, town or city in Ukraine and comment: to call you back, quote the price and handle your case.
  • The page language and the route label: to reply in your language and to see straight away where the deceased needs to go.
  • Your IP address and browser data: to protect the form from spam and repeat submissions, and to tell a real request from an automated one. They also go to the internal bot together with the request.
  • The page address and advertising tags: to understand which adverts and which pages really help people find us.

On what legal basis

You yourself ask us to call you back, quote a price or take on the transfer. The law describes these as measures taken at the data subject's request before a contract is concluded. Once a contract is concluded, the basis is its performance. This is set out in Article 11 of the Law of Ukraine “On Personal Data Protection”.

Where the data is stored

  • The GRG group's internal Telegram bot. A request from the form goes to the bot together with everything you wrote, the page address and language, the route label, advertising tags, your IP address and browser data. There it is seen by the people who call you back. Telegram is a third-party service, so the bot's messages are also stored on Telegram's servers under its rules.
  • An internal log on the website's server. It records the time of the request, your name, phone number, the country or the route, the name of the advertising campaign and your IP address, so that we can check that no request has been lost. The server runs on the GRG group's hosting.
  • Anti-spam counters. They do not store your IP address itself, only a hashed fingerprint of it: a string calculated from the address. They are deleted automatically after about a day.

When you first visit the website, a small window appears at the bottom with two buttons: “Accept” and “Reject”. It is the same for all visitors, from any country.

  • Until you choose, analytics and advertising cookies are switched off. Only what the website needs to work properly is switched on.
  • “Accept”: you allow Google to count visits (analytics), and Google and Meta (Facebook) to measure how well adverts work and to show you adverts (marketing). For this, their services may set their own cookies.
  • “Reject”: analytics and advertising cookies stay switched off. The website, the request form and the contact buttons work just the same.

Your browser remembers your choice so that we do not ask every time. The website runs on the GRG group's domain, so the same choice also applies to other pages on grg.kyiv.ua. You can change your decision at any time with the “Cookie settings” button at the bottom of every page.

What is stored in your browser

Our own website code does not set cookies. It keeps only two things in your browser's storage. The first is your cookie choice, so that we do not ask every time. The second is the advertising tags, if you came from an advert: they are kept temporarily in the tab's storage so that a request sent from any page arrives with the right label. When you close the tab, the tags are gone.

Third-party services on the website

  • Google Tag Manager loads the analytics and advertising tags onto the website. The tags themselves work only with your consent to the matching cookie category (see “Cookies and your consent”). Our code on the page passes them only the names of events, such as “form sent” or “call button pressed”, without your name or phone number.
  • Google Analytics 4 counts visits and actions on the website. It works only after you consent to analytics.
  • Google Ads measures conversions: whether a request was sent after a Google advert. It works only after you consent to marketing.
  • Meta Pixel and the Conversions API (Meta Platforms, Facebook). They measure whether a request was sent or a contact button pressed after a Meta advert. The Pixel works only after you consent to marketing. So that one request is not counted twice, the website creates a random event number for it. After you consent to advertising cookies, the Meta Pixel in your browser and our server (the Conversions API, when it is switched on) may pass Meta technical data (IP address, browser, Meta cookies), the page address, the event type and the contact details from the form, including your phone number, only as a SHA-256 hash (an irreversible fingerprint from which the number cannot be recovered), to measure advertising. Without your consent nothing is passed to Meta.
  • Google Maps: the map loads only when you press “Show map”.
  • TikTok: the GRG group's video feed loads from the TikTok service.

These services process data under their own rules.

Transfer of data abroad

Telegram, Google, Meta and TikTok, and also Viber and WhatsApp if you write to us there, are foreign services. So the data that passes through them may be stored and processed on servers outside Ukraine, under those services' rules.

Who we pass data to

We do not sell your data. Apart from the Google and Meta services that work with your consent (described above), we pass it on only when the service cannot be provided otherwise: for example, to consulates, customs authorities and airlines, to arrange documents and transport. And only what is needed for that. We discuss such steps with you during our conversation.

Documents you send us by messenger

To arrange the transfer, we ask for photos of documents: the deceased's passport, your passport, the insurance policy, certificates. This is data about both you and your relative. Please send only what we ask for. We use these photos only for your case: for the documents, the consulate, the insurer and the airline. Please do not write medical details in the comment on the website form: if we need them, we will ask you by phone.

How long we keep data

Requests in the bot and entries in the internal log are not deleted automatically. We keep them while we are working on your request and keeping records of orders. Only the anti-spam counters disappear automatically, after about a day. If you ask, we will delete your request from the bot and the internal log, and the photos of documents from our messages, except where the law requires us to keep something.

Your rights

The Law of Ukraine “On Personal Data Protection” gives you the right:

  • to know who processes your data, what data and why;
  • to access your data;
  • to require inaccurate data to be corrected or deleted;
  • to withdraw your consent to processing;
  • to complain to the Ukrainian Parliament Commissioner for Human Rights or to go to court.

To use any of these rights, call +380 77 882 77 77 or write to us on Viber, WhatsApp or Telegram on the same number.
