Repatriation of the deceased from Slovenia to Ukraine

from €3,200 including documents, the coffin and transport to your town. We will give you the exact price within 5 minutes.

Summary. Repatriating the deceased from Slovenia to Ukraine costs from €3,200 for the whole journey: documents, the coffin and transport to your town; the funeral in Ukraine is extra. In Slovenia a death must be declared within two days, and without the body passport (posmrtni potni list) from the sanitary inspectorate the body cannot leave the country. We go overland in a specialist vehicle — through Hungary to the border in Zakarpattia or through Austria and Slovakia. The body's journey home to Ukraine takes from 24 hours after collection. Tell us the city and the address and we will give you the exact price within 5 minutes.

If it has just happened

  1. Call or write any time. We explain what to say. We contact the hospital and the police.
  2. Find the insurance policy. The compensation depends on it.
  3. Name two cities. Where it happened. Where to bring the body. The passport can come later.

What we do when you call

Deadlines in Slovenia are short: a death must be reported within two days. So we start work as soon as you call. Under Slovenian rules the documents for taking a body out of the country are submitted by the funeral service, and we organise and run the whole journey. XREQUIEM handles your case from start to finish.

  1. We listen and give you the price

We ask where the death occurred, where the body is now and which documents you already have. We tell you straight away what it will cost.

  2. We register the death

The doctor who pronounced the death issues a confirmation. With it, the death is reported to the administrative unit (upravna enota) at the place of death within two days.

  3. We obtain the death extract

It is issued on a multilingual international form, so the document is understood abroad as well.

  4. We arrange the body passport

In Slovenian it is called posmrtni potni list. Without it, the body cannot be taken out of the country.

  5. We prepare the Ukrainian side

Translations, their certification, the certificate of no prohibited items and the documents for the Embassy of Ukraine.

  6. We prepare the body and the coffin

The coffin must meet Slovenian rules for transport abroad and the requirements of the Ukrainian border.

  7. We bring the deceased home and hand them over to the family

We bring the deceased to your town: to your home, to a church or to the cemetery.

Documents in Slovenia

The Slovenian names of the documents are long, but in essence there are four, from the doctor's confirmation to the body passport. Below is who issues what, and which parts we take on.

What Slovenian authorities issue

  • Potrdilo o smrti: the doctor's confirmation of death. It is issued by the doctor who pronounced the death.
  • Registration of the death: at the upravna enota (administrative unit) at the place of death, within two days. The deaths of foreigners in Slovenia are entered in the state register too.
  • Izpisek iz matičnega registra o smrti: the death extract. For use abroad it is issued on a multilingual international form.
  • Posmrtni potni list: the body passport, needed to take the body out of the country. It is issued by the Health Inspectorate of Slovenia (Zdravstveni inšpektorat), in Slovenian and one other EU language.

What we take on

  • We submit the application for the body passport ourselves.
  • We attach the document reporting the death, completed by the examining doctor, a copy of the deceased's identity document and our written statement about the coffin.
  • We translate the Slovenian documents into Ukrainian and certify the translations.
  • We prepare everything for the Embassy of Ukraine and for customs at the border.

What we need from you

  • The deceased's passport, or a photo of it if the original is with the hospital or the police.
  • Your passport and a document showing that you are a relative.
  • A power of attorney for us. We will tell you how to arrange it from a distance.

The general list of papers is in the Documents section. For what to do in the first hours, see What to do if a loved one dies abroad.

The Embassy of Ukraine in Slovenia

There is only one Ukrainian mission in Slovenia: the Embassy in Ljubljana. It has a consular section, and all consular matters go there.

  • The death of a Ukrainian citizen abroad is registered by the consul. This requires the medical document on the death and a certificate from the local authorities, translated into Ukrainian and certified.
  • There is no consular fee for registering the death or for the first death certificate.
  • The consul issues a certificate for the social protection authorities: with it, the family receives the funeral allowance in Ukraine.
  • The certificate of no prohibited items in the body and the coffin is issued by the Slovenian side, and the Embassy legalises it. Without it, the body cannot cross the Ukrainian border.

A foreign death certificate is recognised in Ukraine only with an apostille or legalisation. We take care of this in advance, so that nothing has to be redone later. You can read more about the consul's role in the article The Ukrainian consulate when someone dies abroad.

How we bring the deceased home from Slovenia

Slovenia does not border Ukraine, but it is not far from us either. We choose the route to suit your case: the town, the timing and the family's wishes.

Where we collect from

We collect the deceased from Ljubljana, Maribor, Celje, Koper, Kranj and from any other Slovenian town or village: from a hospital, a morgue or from another place where the deceased is. A death is registered in the administrative unit where it occurred, so please name the town at once.

By road

Usually the body travels by road in a specialist vehicle: through Hungary to the Ukrainian border in Zakarpattia, or through Austria and Slovakia.

By air, then by road

When every hour counts, we cover part of the journey by air: with a connection to an airport near Ukraine, then on by road. We do not promise direct flights to Ukraine. The air leg takes from 2.5 hours.

How long the journey takes

The journey home takes from 24 hours after collection. The rest of the time depends on how quickly the documents are issued.

The coffin you need

Slovenian rules for transport abroad require one of two options: a wooden coffin with walls at least 20 mm thick and a hermetically soldered zinc coffin inside it, or a single wooden coffin at least 30 mm thick, lined with zinc. A moisture-absorbing substance is placed inside. If part of the journey is by air, the coffin must have a device that equalises the pressure.

The Ukrainian border also requires a hermetic metal coffin, which is sealed. So we prepare one coffin that meets the requirements of both sides. Customs clearance is done on a written statement with supporting documents, and we prepare them. More on the pages Road transport and Coffins.

An urn from a Slovenian crematorium

You do not have to travel for the urn. We collect it at the crematorium, pack it so that it does not break on the way, and take it over land or by plane.

In Slovenia a death is declared to the administrative unit within two days, so we gather the cremation papers at once: we order the Ukrainian translation and certify it. For the border we add the death certificate, the certificate of no prohibited items legalised by the Ukrainian consulate, and a short customs statement. The Strasbourg Agreement does not cover ashes, so we confirm the list of local papers for an urn in your case.

Urn transport costs from €700. The process is described on the page “Urn transport”. Customs and flights are covered by the article “Customs clearance of an urn with ashes”.

How much repatriation from Slovenia costs

Body from Slovenia from €3,200
Urn with ashes from €700

This sum is for the whole way home. A funeral in Ukraine is not included and is priced separately.

What the price includes

The price includes:

  • contact with the hospital and the morgue
  • local, consular and border documents
  • preparing the body for the journey
  • hermetic coffin, soldered zinc liner

What can change the price

The town in Slovenia and the town in Ukraine. Road transport only, or part of the journey by air. The model of the coffin. Questions about repatriation from Slovenia

How much does it cost to bring the deceased home from Slovenia?

From €3,200. This includes registering the death, the extract on the international form, the body passport, the Ukrainian documents, a coffin that meets Slovenian rules and the journey to your town. A funeral in Ukraine is separate. The exact amount depends on the towns and the type of transport. Call us and we will tell you straight away.

How long does it take?

The journey home with the deceased takes from 24 hours after collection. If part of the journey is by air, the air leg takes from 2.5 hours. What usually takes longest is the documents, so we prepare the Slovenian and the Ukrainian papers in parallel.

What is a posmrtni potni list?

It is the Slovenian body passport. The body is taken out of the country with it. It is issued by the Health Inspectorate of Slovenia, in Slovenian and one other EU language. We submit the application.

The death has already been reported to the upravna enota. What next?

Good, that is the first step. Next come the death extract on the international form, the body passport, the translations and the documents for the Embassy. Tell us what you already have, and we will pick up from there.

Which documents do you need from the family?

We submit the application for the body passport, so you do not need to collect the Slovenian papers. We need the deceased's passport (or a photo of it, if the original stayed with the hospital or the police), your passport, a document showing that you are a relative, and a power of attorney. If the death has already been reported to the upravna enota, send us that document too.

Do I need to travel to Slovenia?

In most cases, no. We deal with the Embassy in Ljubljana, and we also submit the applications to the Slovenian authorities. If anyone asks for your signature in person, we will tell you in advance. What can be done from home is described in the article If the family cannot travel abroad.

Is embalming needed?

The Slovenian rules for transporting a body contain no separate requirement for embalming. But some airlines accept only embalmed bodies, so we decide how to prepare the body depending on the route. Preparation of the body is already in the price; if embalming turns out to be needed, we will tell you in advance whether the amount changes. More in the section Preparing the body.

The deceased had insurance. What should I do?

Deadlines in Slovenia are short, so tell us about the policy in the very first conversation and send us a photo of it. Until the insurer has approved the costs, do not hire anyone yourself: you may lose the compensation. If the policy covers the journey only as far as the Ukrainian border, we will calculate the rest separately and tell you straight away.

Which towns in Slovenia do you collect from?

From any town or village in Slovenia: from a hospital, a morgue or another place where the deceased is. Tell us the town, and we will agree when we collect the body.

Can an urn with ashes be brought home?

Yes. An urn is brought into Ukraine with the death certificate and the certificate of no prohibited items, which the Embassy of Ukraine legalises. Transport of an urn costs from €700. More on the page Transport of an urn with ashes to Ukraine.
