Repatriation of a body to Ukraine: how it works

Repatriation of a body means bringing a person who died abroad home to Ukraine. We handle the documents in the country of death, the consulate, the coffin, the journey and the border. The way home takes from 24 hours after collection; most of the time usually goes on the paperwork in the country of death.

In short: repatriation of a body to Ukraine

“Repatriation” means returning to one's homeland. “Repatriation of the body”, “body repatriation” and “repatriation of remains” mean one thing: the body of a person who died abroad is taken home to Ukraine, with all the documents, to be buried where the family is waiting.

  • What it is. Transport of the body from abroad to Ukraine, together with the paperwork in the country of death and at the Ukrainian border.
  • Who does it. We run the whole case: the hospital and the morgue, the documents, preparing the body and the coffin, the journey and customs. The Ukrainian consulate usually registers the death of a Ukrainian citizen and legalises the certificate needed at the border. From the family we need the deceased's passport if you have it, your own passport and a document that shows you are related.
  • Documents at the border. A death certificate, a certificate of no prohibited items legalised by the consulate and a written statement for customs. The body travels in a hermetically sealed coffin under official seal.
  • How long. The whole journey home starts from 24 hours after collection. The paperwork in the country of death usually decides the total; we give you a realistic timeline after the first conversation.
  • Price. from €800, depending on the country, for the whole journey home. Details: how much it costs and prices by country.
  • If there was a cremation. An urn with ashes is taken home instead of a coffin: from €100, depending on the country.

Who is involved: us, the authorities in the country of death, the consulate and the border

Body repatriation is not handled by a single organisation. It is a chain, and each link is responsible for its own part.

We

We run the whole case. We deal with the hospital and the morgue, collect and translate the documents, prepare the body and the coffin and take the deceased across the border. In some countries the law requires a local funeral home. In Austria, only authorised funeral homes may transport bodies. In France, transporting a coffin requires a funeral home with a French licence. In those countries we organise the steps and run the whole case ourselves.

The authorities of the country of death

A doctor certifies the death. A local authority registers it and issues the certificate: in Germany this is the Standesamt, in Poland the Urząd Stanu Cywilnego, in France the town hall (mairie). The permit to take the body out of the country is issued by a separate authority: in Poland by the sanitary inspector, in France by the prefect of the département.

For transport across borders, many countries issue a “body passport”. In Germany and Austria it is the Leichenpass, in the Netherlands the lijkenpas.

The Ukrainian consulate

As a rule, the consul registers the death of a Ukrainian citizen abroad and issues a Ukrainian death certificate, with no consular fee. Together with it, the consul issues a certificate for the social protection authorities, so that the family can claim the funeral allowance. There are exceptions: in Norway, for example, the death is registered only by the Norwegian authorities, and the Ukrainian embassy does not register it again. Most important for the journey: the consulate legalises the certificate of no prohibited items, and without it the body will not be allowed across the border.

The consulate does not organise the transport itself. The family does, or we on the family's behalf. More in the article “The Ukrainian consulate when someone dies abroad”.

The Ukrainian border

A customs officer checks the documents. The coffin is opened only in exceptional cases, in a healthcare facility, in the presence of a customs officer and the accompanying person.

What the law says:

  • To move a body across Ukraine's border (including taking it abroad), the accompanying person shows customs a death certificate (or another document from a competent authority confirming death) and a certificate that the body and coffin (urn) contain no prohibited items. zakon.rada.gov.ua
  • A sealed coffin (urn) is opened only in exceptional cases — when there is reliable information about prohibited items — in a healthcare facility, in the presence of a customs officer and the accompanying person. zakon.rada.gov.ua

The family

We need very little from you: the deceased's passport, if you have it, your own passport and a document that shows you are related, such as a birth or marriage certificate. In most cases you do not need to travel abroad; how this works is explained in the article “If the family cannot travel abroad”. In some countries and situations the signature or presence of a relative is needed. If so, we will tell you straight away.

We work out your price

Call or leave your number.

How it works, from the first call to handing over to the family

  1. The first conversation

We ask in which country and city the death occurred, where the deceased is now, which documents you already have and whether there was insurance. We give you the price.

  2. Documents in the country of death

We obtain the death document, the permit to take the body out of the country and any other certificates the country requires. We have them certified and translated into Ukrainian.

  3. The Ukrainian consulate

We agree the set of documents with the Ukrainian consulate or embassy. The consulate legalises the certificate for the border and, if needed, registers the death and issues the Ukrainian death certificate.

  4. Preparing the body and the coffin

We prepare the body for the journey. Embalming is done where the country or the carrier requires it. The body is placed in a wooden coffin with a soldered zinc liner, and the coffin is put under official seal.

  5. The journey

By road in a specialist vehicle, or partly by air. If part of the journey is by air, we agree the documents with the country of departure and the country of destination before booking.

  6. The border

We hand the documents and the written statement to the customs officer. We do the customs clearance ourselves.

  7. Handing over to the family

We bring the deceased wherever you choose: home, a farewell hall or a church. If you need it, we will arrange the funeral anywhere in Ukraine; see the article “How to arrange a funeral”.

We run the local and the consular part in parallel, not one after the other. That way no days are lost. What to do in the first hours, step by step, is on the page “What to do if a loved one dies abroad”.

The documents without which the body will not cross the border

Wherever the body is coming from, the rules at the Ukrainian border are the same. You need:

  1. a death certificate or another document certifying the death, issued by the competent authority;
  2. a certificate that the body and the coffin contain no items prohibited from being taken across the border. It is issued by the authority of the country of death and legalised by the Ukrainian consulate or embassy;
  3. a written statement for customs, in any form.

There is one more requirement, and it is not a document but a coffin: the body must be in a hermetic coffin with a zinc liner, put under official seal.

What the law says:

  • The body is carried in a hermetic metal coffin; the coffin (urn) is put under official seal by the same officials who issue the certificate of no prohibited items. zakon.rada.gov.ua

Why a “body passport” alone is not enough

Many European countries are parties to the Strasbourg Agreement on the transfer of corpses. Between them, the body travels with a single document, the laissez-passer, or “body passport”. The countries of transit and destination require no other documents.

But Ukraine is not on the list of parties to the Agreement. So the documents required by Ukrainian law are needed at the Ukrainian border as well. In that case the Netherlands, for example, also requires a certificate from the competent authorities that names the deceased and the destination.

Each country has its own local documents. You will find what your case needs on the page for that country in the “Countries” section, and the general list on the “Documents” page.

How the deceased is transported: by road or with an air leg

From the countries next to Ukraine and from many other European countries, the body goes by road in a specialist vehicle. The coffin is secured inside the vehicle. For a long journey, a vehicle with a refrigeration unit is used.

From countries further away, part of the journey is by air. Airlines carry the deceased in the cargo hold of a cargo plane or of a passenger plane. Some airlines accept only embalmed bodies. We do not promise direct flights to Ukraine: the plane flies to an airport near Ukraine, and the last leg of the journey is by road.

How long it takes. The air leg takes from 2.5 hours. The body's journey home to Ukraine takes from 24 hours after collection. Most of the time is usually spent on the documents in the country of death. We will tell you how long your own case will take after the first conversation.

How much it costs and who pays

A body costs from €800 to transport, depending on the country. For example: Poland, from €800; Germany, from €2,100; Italy, from €3,000. These are “from” prices for the whole journey home. A funeral in Ukraine is a separate service.

The exact price comes within 5 minutes, once we know the country, the city and the documents. A contract fixes it before we start. All the prices are on the “Prices” page. What they are made up of is explained in the article “How much it costs to bring a body home to Ukraine from abroad”.

Who pays. Usually the family, or the insurer if the policy covers repatriation. Often the policy pays only for the journey to the border or to a transport hub in Ukraine, and the family pays the rest. If there is a policy, tell us on the first call: the transport has to be agreed with the insurer, otherwise the insurer may refuse to pay compensation. Who else can help is explained in the article “Who pays for bringing a body home from abroad”.

If the deceased has already been cremated: an urn

Sometimes the cremation has already taken place abroad. In that case an urn with ashes is taken home. This is simpler than transporting a body, but the documents for the border are the same: the death certificate, the certificate of no prohibited items and a written statement for customs. The Strasbourg Agreement does not apply to ashes.

An urn costs from €100, depending on the country to bring to Ukraine. How an urn gets through the border and onto a plane is explained in the article “Customs clearance of an urn with ashes”. About the service itself, see “Transport of an urn with ashes to Ukraine”.

Questions about body repatriation

Are “body repatriation” and “transporting a body” the same thing?

Yes. “Repatriation of the body” sounds more official, while “transporting a body from abroad” is plainer. Both mean the same: bringing a person home with all the documents.

Who can order repatriation?

Usually one of the close relatives. We can prepare the documents for the transport on behalf of the family, and that is how we work. From you we need your passport, a document that shows you are related and the deceased's passport, if you have it.

Do I have to travel abroad myself?

In most cases, no. We deal with the local offices and the consulate ourselves; from you we need signatures and copies of documents. If a relative has to be present in your case, we will tell you straight away.

How long does it take to repatriate a body?

From 24 hours after collection, counting the whole way home to Ukraine. The paperwork in the country of death usually decides the total. Once we know the country and the documents, we give you a realistic timeline.

How much does body repatriation cost?

The lowest price is from €800, and it varies by country. It is a “from” figure that covers the whole way home.

Does the state pay for bringing a body home from abroad?

There is no general rule that the state pays for the transport. The consulate helps with the documents: it registers the death, issues the death certificate and provides the certificate for the funeral allowance. The transport is usually paid by the family or by the insurer.

Will we be able to say goodbye at home?

Yes. We bring the deceased to the place where you want to say goodbye: home, a farewell hall or a church. Whether the coffin can be opened depends on the condition of the body, how it was prepared and local rules. We will tell you before departure.

Which countries do you bring the deceased from?

From European countries and beyond. The “from” prices are on the “Prices” page. If the country you need is not listed, we will bring the deceased home from there too, and we will give you the price by phone.

The person has already been cremated. Is that repatriation too?

Yes. In that case an urn with ashes is brought back. The documents for the border are the same, but the journey itself is simpler. The price for an urn is from €100, depending on the country.
