How to arrange a funeral: a step‑by‑step guide for families

When someone dies, the family has to settle many things within a few days: the documents, a place in the cemetery, the farewell, a priest, the memorial meal. This guide sets out a simple order of steps. It also covers what you can prepare at home while the body is on its way from abroad. We arrange funerals across Ukraine, and we can take all of this on for you.

In brief: what to do in the first days

  1. Call us

    We are available around the clock and speak Ukrainian, English, Polish and German. We will tell you whom to call, which documents to obtain and what to prepare.

  2. Get the documents

    Obtain the document confirming the death from the healthcare facility, then register the death. We can do this for you.

  3. Decide where to bury

    A family grave or a new plot. Your choice determines whom you will need to arrange things with at the cemetery.

  4. Choose where to say goodbye

    At home, in a church or in a farewell hall.

  5. Agree with a priest

    If the family wants a church ceremony: a funeral service, a memorial service (panakhyda), a prayer at the cemetery.

  6. Order the rest

    A hearse, transport for relatives, funeral items, the memorial meal.

You do not have to coordinate all of this yourself: we can take it on. You then have one number to call, and we know what has been done and what comes next. We answer the phone at any time.

Documents for the funeral

If the person died in Ukraine

The death is registered at the civil registry office (DRACS), on the basis of a document from a healthcare facility or a forensic medical institution confirming the death. As a general rule, the application to register the death is submitted no later than three days from the day of death, or no later than five days if that document cannot be obtained. The civil registry office will confirm the exact deadline for your case.

What the law says:

  • In Ukraine a death is registered by the civil registry office (DRACS); the grounds include the medical certificate of death (form No. 106/o) or another document listed in the Rules for State Registration of Civil Status Acts in Ukraine. zakon.rada.gov.ua
  • By law, the application to register a death is filed no later than three days after the death or the discovery of the body, or no later than five days if a document from a healthcare or forensic institution cannot be obtained. zakon.rada.gov.ua

We can take this on: registering the death, the death certificate and the certificates the cemetery needs.

If the person died abroad

The death of a Ukrainian citizen abroad is usually registered by the Ukrainian consul, who issues a Ukrainian death certificate without a consular fee. A foreign death certificate is recognised in Ukraine when it carries an apostille or has been legalised, and it is submitted to the civil registry offices together with a certified translation into Ukrainian. For more, see the articles “The Ukrainian consulate when someone dies abroad” and “Death certificate abroad”. What to arrange at home once the body has returned is in the article “Documents after a death abroad: what to arrange in Ukraine”.

What the law says:

  • In Ukraine a notary certifies the accuracy of a document translation if the notary knows the languages; otherwise a translator translates and the notary certifies the translator's signature (Art. 79 of the Law on Notaries). zakon.rada.gov.ua

A tip for both cases: keep all the papers in one folder. That means the deceased's passport, the death certificate, the other certificates and the invoices. You will need them at the cemetery and for the funeral allowance.

The burial place: a family grave or a new one

The first question to settle is where exactly to bury. If relatives are already buried at the cemetery, many families want the person to lie next to them. If not, a new plot is needed.

Each local community has its own procedure: who looks after the cemetery, how a plot is allocated, which documents are needed. We will tell you what your local community will ask for, and we agree with the cemetery ourselves in any town in Ukraine.

If you are burying an urn with ashes, you also need a place: in the family grave or a separate one. We will help with this too, anywhere in Ukraine: a place in the cemetery, a priest, the farewell. For the options, see the article “Burying an urn with ashes in Ukraine”.

The farewell: at home, in a church or in a hall

At home. Quiet and private, among your own people. But not every home is suitable, so think in advance about how to carry the coffin out and how it will be taken on afterwards.

In a church. If the family wants a funeral service. The time is agreed with the priest.

In a farewell hall. When the home is too cramped, or you want everyone to be able to come calmly, whatever the weather. We prepare the hall: we place the coffin, candles, flowers and stands for wreaths. A coordinator welcomes the family and guests, and after the ceremony we tidy the hall. If you wish, we will invite a priest, arrange music or someone to lead the ceremony, and give you more time in the hall.

We prepare the body for the farewell (washing and dressing) only with the family's consent. More on the page “Preparing the body”.

The priest, funeral items and the memorial meal

The priest

We make arrangements with a priest of your denomination: Orthodox, Greek Catholic, Roman Catholic or another. This can be a funeral service in church, a memorial service (panakhyda) at home, in the hall or in church, or a prayer at the cemetery. If you have your own parish priest, just give us the name and we will get in touch.

Funeral items

We will help you choose everything needed, in line with your family's traditions and budget:

  • a coffin: wooden, lacquered or upholstered in fabric;
  • a cross with a name plate;
  • wreaths and ribbons with inscriptions;
  • a pall, a pillow, burial clothing;
  • candles and grave lamps.

The memorial meal

The meal is held on the day of the funeral, on the 9th or 40th day after the death, or on the anniversary. It can be at home, in a café or in a restaurant. The traditional dishes are kutia (sweet wheat with poppy seeds and honey), borscht and uzvar (a dried-fruit drink). If the church calendar requires it, or the family prefers it, the menu is Lenten. We price the meal separately: it depends on the number of guests, the venue and the menu.

Transport

A hearse to the church and to the cemetery, and a bus for the family and guests. For the vehicles, see the page “Our fleet”. If the body first has to be brought from another city, see the article “How to move the deceased to another city in Ukraine”.

Call us, day or night

Languages: Ukrainian, English, Polish, German. The same number works on Viber, WhatsApp and Telegram.

If the body is coming from abroad: what to prepare while it is on its way

The body's journey home to Ukraine takes from 24 hours after collection. You can use this time to prepare the funeral calmly, instead of doing everything on the last night. In most cases the family does not need to travel abroad for the body; the reasons are in the article “If the family cannot travel abroad”.

  • The burial place. Decide where to bury and tell us. We will agree the time with the cemetery to match the arrival of the body.
  • The farewell. Choose a home, a church or a hall. We book the hall as soon as we know the day the vehicle sets off.
  • The priest. Give us the parish or the priest's name, and we will agree the time to match the arrival of the body.
  • Documents. The documents from the country where the person died travel with the body, and we will hand them to you. Prepare your own: your passport and a document proving your relationship.
  • The meal. Think about how many guests there will be and where to gather.
  • Relatives. Tell everyone when and where to come. If relatives need transport, we will provide a bus.

When one team handles both the transport and the funeral, there is no gap between them. We know when the body will cross the border and what time it will reach the town. So the hall, the priest and the hearse are ready for exactly that time, and you get one plan with the time of every step.

The deceased arrives from abroad in a hermetically sealed coffin with a metal liner. Whether the farewell can be held with the coffin open depends on the condition of the body, how it was prepared and local rules. We will tell you before the vehicle sets off. For the transport itself, see the page “Repatriation of the deceased from abroad”.

The funeral allowance: where to get the certificate

Ukraine has a state funeral allowance. To receive it you need documents, and it is best to think about them straight away.

If the person died abroad. When the Ukrainian consul registers the death, the consul issues a certificate for the social protection authorities at the same time. With it the family applies for the allowance. This certificate is often forgotten in the first days. We will remind you and make sure it is among your documents.

If the person died in Ukraine. We will tell you where to apply and which documents to take.

Confirm with the office where you submit the documents whether you are entitled to the allowance and in what amount. Keep all the invoices and receipts for the funeral: you will need them. For who else can help with the costs, see the article “Who pays for bringing a body home from abroad”.

How much a funeral costs

The price depends on what the family chooses:

  • the kind of farewell: a church service, a hall, a farewell at home;
  • the cemetery and the burial plot;
  • the coffin, cross, wreaths and other funeral items;
  • transport for relatives and the distance;
  • the memorial meal.

We draw up the estimate together with you in advance and write down what it includes. We add nothing without your consent. If the body is coming from abroad, we price the funeral separately from the transport. More on the page “Funerals across Ukraine”.

Questions about arranging a funeral

What should we do first if the person has just died?

Call us at any time. In that first conversation we will name the people to call, the documents to obtain and what to prepare, and then an agent will come to you and take over the arrangements.

How long do we have to register the death?

As a general rule in Ukraine, the application to register a death is submitted no later than three days from the day of death, or no later than five days if the document from the healthcare facility or the forensic medical institution cannot be obtained. The civil registry office will confirm the exact deadline. If the person died abroad, the death is usually registered by the Ukrainian consul.

Can we order only some of the services?

Yes. You can order, for example, only the hearse, the farewell hall or the memorial meal, and do the rest yourselves.

Do you work in my city?

Yes. We work across all of Ukraine: the farewell, the burial, a hearse, transport of the deceased and of relatives, and funeral goods. We serve any town at your address and on your date. The cost of bringing the hearse to the ceremony venue depends on the address, and we name it before departure. And when we bring the body from abroad, delivery to any city in Ukraine is already included in the price.

Will you invite the priest from our church?

Yes. Tell us the parish or the priest's name, and we will contact the priest and agree a time. If you do not have your own priest, we will suggest whom to approach.

How do we plan the funeral if the body is still abroad?

As soon as we know the day the vehicle sets off, we book the hall and agree with the priest and the cemetery on the time the body arrives. You get one plan with the time of every step.

Can an urn with ashes be buried?

Yes. If the ashes are coming from abroad, we will bring the urn (from €100, depending on the country) and help with the burial: a place in the cemetery, a priest, the farewell.

Is the price of the funeral included in the price of transport from abroad?

No. The transport prices cover the whole journey of the body home. We price the funeral separately, based on your choices. You can order only the transport and arrange the funeral yourselves.

How do you work out the price, and when do we pay?

We draw up the estimate in advance, together with you, and write down what it includes. We agree how and when to pay during the first conversation.
